Definitions The following definitions apply to terms as they are used in this recommended p

7、ractice. Additional terms are defined in AIIM TR2-1980. Abrasion. The process of eliminating a microfilm hage by scraping or scratching the emulsion to remove it from the film base. Correction or amendment. The revision of specific informa- tion contained in a microfilmed document. The revision may

8、involve adding information. This does not permit any changes in information other than that specified in the cor- rection or amendment order. Deletion. The obliteration of specific information contained in a microfilmed document. This procedure does not permit the removal and destruction of an image

9、 or images without replacement, unless it contains only the information to be deleted; nor does it permit the obliteration of information other than that specified in the deletion order. Document. Any writing, drawing, photograph, or other instrument used for the communication of information. Expung

10、ement. The removal and destruction of a document image or images from the microform recording of the original documentation. This procedure requkes that no record or identification of the documentation ordered ex- punged remain on the film. 1 COPYRIGHT Association for Information place a copy of thi

11、s new master with the copy of the altered microform. If space per- mits, the notice and other targets can be filmed on the original master. 5.8 Diazo and Vesicular Film. For microfiche, replace any current microfiche copies with a copy of the altered camera negative. Destroy the replaced copy. If th

12、e camera negative is not available, remove the images to be expunged by the dry abrasion process as described in 5.4. File a copy of the microfilmed notice, order, and camera operators certificate Vr;ith the substitute or altered microfiche. The TEP tool men- tioned in 5.7 can also be used with vesi

13、cular film in both microfiche and roll formats. For roll film, replace any current copy with a copy of the altered camera negative. Destroy the replaced copy. If the original is not available, splice out the images of the docu- ment ordered expunged and insert a copy of the microfhed notice, order,

14、and camera operators certificate. 5.9 Other Films. Consult the film manufacturer or your dealer for the appropriate method to remove (expunge) images. 6. Deletion, Correction, or Amendment Procedures 6.1 Silver Gelatin 16 mm and 35 mm ROH Film 6.1.1 Manually Indexed Roll Film. Reproduce a hard copy

15、of the document image or images to be revised from the original microfilm of the document. Make the ordered changes on the paper copy. Microfilm the revised copy and the completed notice. Remove the original image or images from the roll and destroy. Splice in the revised image or images and the not

16、ice in place of the removed film. Include the revision order only if it contains no identifying infor- mation. All images spliced into the original camera negative should be filmed at the same reduction or as close to the original camera negative reduction ratio as possible. 6.1.2 Image Mark (Bpped)

17、 or Coded Roll Film. Follow the procedure for the revision of manually indexed roll film in 6.1.1. However, replacement images must be appropriately blipped or coded so that the electronic image count for retrieval is maintained. Code film replacement must be produced and coded by the same method (e

18、quipment) as the removed original microfilm. Remove the imag

19、e or images ordered revised for the roll by abrasion of the emu- sion as described in 5.4. Care must be taken not to abrade the blipped or coded area since this can cause misreads by the readers retrieval unit. Splice the revised document image or images and the completed notice at the beginning of

20、the reel. Include the revision order only if it contains no identi- fying information. 6.2 Microfilm Jackets. From the original microfilm, reproduce a hard copy of the document image or images to be revised. Make the ordered change or changes on the paper copy. Microfdm the revised copy and the comp

21、leted notice. Include the revision order only if it contains no iden- tifying information. Remove the original image or images ordered revised from the appropriate film channels and destroy them. Insert the microfilm of the revised document image or images, the completed notice, and the order (if ap

22、- plicable) in place of the removed original image or images. There wiii be instances when space will not permit the in- sertion of the revised image or images with the notice and order. In such cases, insert a completed target indicating that the microfilm for the revised image or images are in the

23、 following jacket. Create a new jacket containing the revised image or images, notice, and order. Make certain that the new jacket is numbered or identified to maintain the proper file sequence and to indicate the presence of the new jacket. 6.3 Microfiche. Microfiche are produced by contact print-

24、ing from a jacket or by direct imaging on sheet film (step and repeat, COM). For amendment, deletion, or correction, reproduce from the original microfim a hard copy of the document image or images to be revised. Make the ordered changes on the paper copy. Microfilm the revised copy and the complete

25、d notice. Include the revision order only if it contains no identifying information. Create a new microfiche master containing the revised image or images, notice, and order. B Remove the onginal image or images ordered revised from the master using the methods as described in 5.4. When the image or

26、 images have been removed from the master, make a duplicate silver copy of the altered original master. File the original altered master, the copy, and the new master together, 6.4 TEP Films. From the original microfilm, produce a hard copy of the document image or images to be revised. Make the ord

27、ered changes on the paper copy. Microfilm the revised copy and the completed notice. Include the revi- sion order only if it contains no identifying information. Remove the original image or images ordered revised from the master using the methods in 5.7. When the image or images have been removed f

28、rom the master, make a duplicate copy of the altered microfiche. Create a new microfiche containing the revised image or images, notice, and order. File the new microfiche with the original altered microfiche and copy. An alternative method is to print out on paper all the documents from the origina

29、l master and refilm them on a new TEP master, leaving out the material to be expunged. This will also produce a new master without the expunged information. 6.6 Other Films. Follow the appropriate procedures that . apply as presented in sections of this recommended prac- tice or consult your dealer

30、for the film manufacturers recommendation. 7. Indexes In those instances when a complete document or file is expunged, remove the reference to the document or film from the appropriate box, card, strip, computer, or any other type of index used to list the expunged document. If the index has been mi

31、crofilmed, refilm it after the reference has been removed or use the procedures stated in the practice to expunge, delete, correct, or amend it. The original microfilmed index must be expunged of all reference to the document ordered expunged. 8. Copies Copies of original microforms revised by expun

32、gement, deletion, correction, or amendment must be replaced or changed in accordance with the procedures presented in this recommended practice. 34、ms, ANSI/AIIM MS42- 1989.) Although other methods may be appropriate for certain systems, the committee considered and rejected the follow- ing methods for these reasons. Method Punching a hole or holes through document images to eliminate information Using opaque or blotting the image with ink-type

The form on the following page should be used in the documentation replacing the expunged, deleted, corrected, or amended information with the court order (when allowable) or by itself if the order names or identifies the individual expunged. This form may be photocopied, co

37、m- pleted, and used as the necessary documentation for the pur- poses indicated in this practice. Permission to photocopy this form does not waive copyright of any other part of ANSI/AIIM MS42-1989. Reason for Rejection Weakens film, prevents accurate duplication where tension on film may cause dist

38、ortion or breakage during the duplication process. May not completely eiimnate ail aspects of the file. Opaque can be removed, an ink pen cannot completely block out the information, and both may cause long-term damage to the film. Difficult and complicated process that requires proper equipment and

39、 facilities. No chemicals of any kind shall be used on archival film to delete images. Chemical treatments may cause deterioration during long-term storage.
